Step 1 of 8

Learn

Before you start

By the end of this lesson you will be able to:

  • Explain what a General Administrative Virtual Assistant does.
  • Identify common administrative responsibilities.
  • Distinguish a task from the skill behind the task.
  • Understand what clients are actually paying for.
  • Recognize the limits of beginner General Admin work.
Key idea

A VA is not paid simply for knowing software. A VA is paid for reliably completing useful work.

Learn

What is a General Admin VA?

A General Administrative Virtual Assistant provides remote administrative support to a person, team, or business. The work can include organizing information, managing communication, coordinating schedules, maintaining documents, conducting research, updating records, and helping routine business processes keep moving.

The word support matters. A VA may not make every business decision. Instead, the VA helps execute, organize, coordinate, document, and follow through on work that needs to happen.

Common General Admin areas
AreaExamples
CommunicationEmail organization, routine responses, follow-ups, meeting coordination
SchedulingCalendar management, appointments, rescheduling, time-zone coordination
InformationData entry, data cleanup, spreadsheet updates, file/document management
ResearchWeb research, information gathering, research summaries
CoordinationTask tracking, deadline tracking, meeting materials, checklists, recurring processes
Observe

Task vs. skill

"Update the client's spreadsheet" is a task. The underlying skills may include attention to detail, spreadsheet knowledge, instruction-following, organization, and quality checking.

"Schedule a meeting" is a task. Doing it properly may require understanding availability, time zones, duration, preparation time, meeting details, and the client's scheduling rules.

Why this distinction matters: clients hire you for tasks, but they keep you because of the skills behind them. A beginner who only memorizes task steps struggles the moment a situation doesn't match the script.

Observe → Decide

What is the client really paying for?

"Hi! Can you just clean up my contacts list? Shouldn't take long, it's just data entry."

The client frames this as simple data entry. What should actually guide how you approach the task?

Learn

Five qualities of reliable administrative work

QualityMeaning
AccuracyThe information and output are correct.
CompletenessAll requested parts are finished.
ConsistencyThe same agreed rules are applied throughout.
TimelinessThe work is completed within the agreed timeframe.
ClarityThe client can understand what was done and what still needs attention.

Beginner limits: a General Admin VA supports and executes — it's not your role to invent policy, commit the client's money, or make decisions outside what you were given authority for. You'll practice recognizing that boundary throughout this course.

"A customer emailed asking for a $500 refund outside our usual policy window. Can you just approve it so they stop complaining?"
